RULES . REGULATIONS & IMPORTANT INFO

AfriVenture Experiences (Pty) Ltd, registration number 2017/250890/07.

A company registered according to the company laws of the Republic of South Africa.

 

The below Terms & Conditions will apply once a booking is made between AfriVenture and yourself.


Bookings, Deposit and Invoicing:

 

Once your booking is accepted, AfriVenture will send you confirmation. Please refer to this confirmation for details regarding final payments.

 

Invoices are issued on booking confirmation.

 

Payments:

 

  • 10% deposit payment is required to confirm your booking.

  • For Uganda bookings, a non-refundable deposit of $700 is required in order to secure a Gorilla Permit.

  • 100% payment is required 45 days prior to the departure date.

  • All bookings within 45 days require payment in full.

 

The payment for Uganda bookings is a combination of Deposit, Top Up and/or Cash Payment, the full cost advertised is broken into these three components and will add up to the amount advertised at time of booking.

 

You will not be able to start a tour without payment being in full. AfriVenture reserves the right to cancel a booking and to charge the cancellation fees should a booking not be fully paid.

Cancellation Policy:


If you cancel a booking, fees may apply. A cancellation of a tour booking needs to be done in writing and will only be effective once received and acknowledged by AfriVenture. The date on which AfriVenture receives the correspondence will determine the cancellation charge.

 

If you cancel a trip:

 

  •    > 45 days or more to departure: 10% of the tour price is held as cancellation

  •    44 – 30 days to departure: 50% of the tour price is held as cancellation

  •    29 – 15 days to departure: 75% of the tour price is held as cancellation

  •    14 – 3 days to departure: 90% of the tour price is held as cancellation

  •     2  – 0 days to departure: 100% of the tour price is held as cancellation

 

The gorilla permit is non-refundable due to the permit being reserved under your name.

 

If you decide on leaving a tour before completion or starting a tour after commencement, for any reason, AfriVenture is not obligated to make any refunds for any unused services.

 

All our trips are guaranteed to depart once full payment is done and minimum group size is attained (for scheduled departures).

 

Force Majeure:


We may cancel a trip due to circumstances beyond the control of AfriVenture including war, civil war, public disorder, civil disturbance, weather, riots, natural disasters, closure of airports, epidemic or health risk, and any other unforeseen reasons that may cause a delay in performance or alterations to a tour. AfriVenture will not be held liable in any way for any of these possible occurrences.

 

In circumstances where the cancellation is due to external events outside of our control, refunds will be less any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess, or non-refundable flights.  

 

In the event of an unforeseen tour delay, AfriVenture will respond to the incident accordingly. AfriVenture reserves the right to alter an itinerary accordingly in order to make up any time lost due to any unforeseen circumstances.

 

Health Policy and Age Group:

 

We do not have a restricted age group policy; however our tours require some level of physical fitness and good health in order to fully enjoy an AfriVenture tour.

 

Gorilla tracking requires a minimum age of 15 years on the day of tracking.

 

Group Size:

 

AfriVenture tours are small in size. This is for the sake of giving a high level of personalised attention and comfort. The tour size differs per country.

 

Uganda - minimum of 2 and a maximum of 7.

South Africa - minimum of 2 and a maximum of 12.

 

Client’s Responsibility – Passport, Visas and Vaccinations:

 

It is your responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other required documentation are valid for the country you are travelling to. Your passport must be valid for 6 months beyond the duration of the trip and must contain at least 2 blank pages. AfriVenture will not be held liable for any consequences, damages or claims if you are refused entry to a country because of wrong documentation. Any costs related to this will be at your own expense.

 

Travel Insurance:
 

Comprehensive travel and cancellation insurance is mandatory for all travellers and should be taken out at the time of booking. Your travel insurance must provide cover (but not limited) against personal injury, death, medical expenses, repatriation expenses, damage and loss. You will need to provide us with a copy of your policy number before the commencement of the tour. Without this, you will not be able to join the trip. AfriVenture will not be hold responsible for any loss of personal equipment and luggage.

 

Luggage Allowance:

 

You will be entitled to one soft shell bag / bag pack (max 15kg) and a light daypack.

 

Authority on Tour:

 

All our trips are run by a tour guide acting as AfriVenture’s representative and any decision made by him/her will be considered final on all matters likely to affect the safety or well-being of any traveller. If you fail to comply with a decision or interfere with the well-being of the group, the tour guide reserves the right to exclude you from the tour at any point without a refund. Any threats to safety, well-being or inappropriate behavior, whether verbal or physical, will be taken seriously. You must at all times comply with the laws, customs, foreign exchange and drug regulations of the countries visited.

Flexibility and Change of Itinerary:

 

You acknowledge that the nature of traveling in Africa requires considerable flexibility and an open mind. Routes and itineraries may be subject to change due to unforeseen circumstances. If we make a major change before your departure, we will inform you of this as soon as possible.

 

If we happen to not secure our first choice of accommodation, we will always book a similar alternative of the same or greater standard.

 

Indemnification and Exclusion of Liability:

 

You accept that the tour is of an adventurous nature and involves an element of personal risk. AfriVenture does everything in its capacity to keep you safe on tour. However, it is your own responsibility to acquaint yourself with the country's relevant pre-departure travel information before traveling. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risk’s attendant upon such travel.

 

Optional Activities:

 

Optional activities are not included in the tour price and the contract for the provision of that activity will be between you and the activity provider. 

 

Complaints:

 

If you have a complaint in respect of the tour, you must inform your tour guide as soon as an issue arises. The AfriVenture guide will attend to the issue at hand. If this issue is not resolved as expected, please contact AfriVenture’s management while on tour in order to find a solution as soon as possible.

 

Confidentiality:

 

AfriVenture will only use personal information from a guest in order to carry out an efficient operation of a tour. This particularly applies to accommodation, activities and service providers that help us operate the tour.
